The Challenge: The Australian association of an international not-for-profit organisation intended to source and upgrade their information and communication technology infrastructure across its Australian offices. The project had the objectives of providing enhanced telecommunication, computing, audio-visual and office facilities for its staff and to ensure the IT division had greater supportability of its newly deployed assets.
MetaPM was engaged to assist the not-for-profit by supplying best-practice project management capabilities to plan, coordinate and control the deployment of the infrastructure roll-out project. During this ten month project, the MetaPM consultant coordinated the successful IT infrastructure deployment in ten offices across six Australian states. Furthermore, the consultant was responsible for the evaluation, selection and management of suitable vendors assisting the project to deliver its outcomes.
MetaPM Approach: The approach taken by MetaPM was to have an experienced dedicated Project Management Consultant onsite in the not-for-profit’s head office to engage directly with the IT manager, who was supported by the client’s support team and the back-end expertise of project professionals at MetaPM.
MetaPM used a formal Product Breakdown Structure to identify and categorise the work required for the project. The breakdown was structured with repeatability in mind and allowed the project to adopt a structured, consistent and controlled approach when conducting the work across Australia.
In consultation with the client, an appropriate and lighter level of project management controls were employed, given the organisation’s limited exposure to formal project management practices.
Results: MetaPM enabled the not-for-profit to successfully upgrade its office infrastructure at ten sites in a controlled and cost-effective manner.

- Managed the engagement with 15+ vendors
- Communicated with and informed client stakeholders
- Established repeatable processes for future deployments
